The below terms and conditions relating to Travelbug Tours (the terms of the "Agent") (Part 1), together with the appropriate downloadable terms and conditions, (the terms of the "Tour Operator") (Part 2), form your full booking terms and conditions.
Travelbug Tours is a Retailer for the purposes of the Package Travel Regulations and is the trading name of Charlie Bravo Services Limited (11163105), a limited company registered in England and Wales.
The Agent's terms (Part 1) apply to all bookings. The relevant Tour Operator terms document (Part 2) will also apply at all times tour your booking.
The version of the Tour Operator (Part 2) terms which apply, depend upon two things:
(1) the currency you are paying with; and
(2) the region of the world you are travelling to/within.
Please locate, read carefully and download the Tour Operator (Part 2) terms applicable to your booking, in addition to reading carefully and downloading the Agent Terms (Part 1).

BOOKING TERMS ( PART 1)
A deposit (or an amount exceeding the deposit amount) must be paid when requesting a booking to initiate the securing of a booking. The deposit amount differs depending upon the currency you are paying in. A deposit is required per person. Please see section on "Booking Confirmations" for more information about receiving confirmation of a booking.
Deposit amounts per person, per tour:
Paying in GBP - the deposit amount is £60
Paying in EUR - the deposit amount is €75
Paying in AUD - the deposit amount is $200
Paying in USD - the deposit amount is $200
Paying in CAD - the deposit amount is $200
Paying in NZD - the deposit amount is $200
Paying in ZAR - the deposit amount is R1000
Deposits are non-refundable unless your trip is cancelled by the Tour Operator. A deposit may be 'rolled over' to another tour subject to the terms contained in the Rolling Deposits section of these Agent Terms (Part 1), below.
If you decide to cancel your booking more than 70 days before the first day of the tour, you may request in writing that we (Travelbug Tours) provide you with a rolling deposit voucher for a future tour.
The rolling deposit voucher must be redeemed within two years from the date of cancellation (not two years from the date of the tour you decided to cancel). The voucher can be transferred to a friend once but cannot be transferred a second time. One voucher per person per trip.
Sometimes full payment is required at the time of requesting a booking. Including but not limited to where the departure date is within 70 days on the booking date, or, if you are taking advantage of a special offer which requires full payment upfront.
In usual circumstances, full payment is due 10 weeks (70 days) prior to the tour start date. Payment in all circumstances, unless otherwise directed, should be made to Travelbug Tours via this website or to the Travelbug Tours (our trading name for Charlie Bravo Services Limited) bank details provided using the reference requested.
Bookings made less than 10 weeks (70 days, or less) prior to the tour start date, must always be paid in full at the time of booking on our website.
You will receive an automated email from Travelbug Tours once you have auctioned a booking. This email will confirm the status of your booking.
Your booking status will either be "confirming your booking" or "booking confirmed".
Confirming your booking usually takes place within 24 hours, however, confirming may in limited circumstances take slightly longer. Please contact us in these circumstances and we will be happy to provide you with updates.
You paying a deposit to us, and then you subsequently receiving the above automated email from us will constitute the entering of a contract between you (and any other travellers in your party for whom you are booking on behalf of), Travelbug Tours (as Retailer/ Agent) and Topdeck Tours (as Tour Operator) who is responsible for providing this tour to you. Details of the Tour Operator terms are available in full below, and downloadable as a PDF.
You must take out comprehensive travel insurance before you travel on your trip. We recommend you take this out as soon as possible to cover any losses associated with any bookings or plans you make. Your insurance protection must include cover for cancellation, medical and repatriation expenses, personal injury and accident, death, and loss of personal baggage and money and personal liability insurance. Evidence of such insurances must be produced to the tour leader on request and normally on day one of your tour. We may also request to see evidence of such insurances after a booking is made. Insurance cover offered by credit card companies or reciprocal medical cover agreements are often not comprehensive.
Please see the Insurance and Claims section of Part 2 of these Booking Terms for further details about claims relating to performance or non-performance of your booked tour, which is always the Tour Operator's liability opposed to the Retailer's. Enquiries in this regard should be made of the Tour Operator although we are happy to assist if required.
Please see Part 2 (the Tour Operator terms) for further details. Travelbug Tours will not accept any liability if you fail to notify us or the Tour Operator directly, in writing, of an inaccuracy in any document within 14 days of us or the Tour Operator sending them to you (which will contain information provided from you to us, during the booking process, about you).
Passports must have an expiry date of at least six months after completion of the trip.
Changes or Cancellations
Changes: Once you have made a booking (by paying a deposit or a greater amount) and it is confirmed (because you have received an email with the status "booking confirmed"), we cannot guarantee that it will be possible to make any changes to your booking. If you would like to request a change, please contact us as soon as possible and we can look into whether it is possible. If it is possible to make your requested change, we may be charged by our partners for making the change. Any charges we have to pay because of a change to your booking will be passed on to you and a £30 administration fee will always apply per change to cover our costs.
Cancellations by you 71 days or more: Where a tour is cancelled by you (for yourself or on behalf of the party or a party member(s)) or a member of your party individually cancels their respective participation in a tour 71 days or more from the tour start date, then we will return all monies paid to us by you relating to the cancelled booking, minus the deposit(s) and a £30 per person (or equivalent) fee to cover costs and charges paid by us in relation to the cancellation, as soon as practical and possible to do so.
If you need to cancel a tour more than 70 days from the tour start date, you can request that we hold your deposit to go towards another trip of your choice in the future, rather than forfeit it. Please see "Rolling Deposits" in the Agent terms (Part 1) for more information.
Cancellations by you within 70 days:Where a tour is cancelled by you (for yourself or on behalf of the party or a party member(s)) within 70 days of the tour start date, we are unfortunately unable to return any monies to you or the relevant member(s) of your party. There are no exceptions. This also applies where your party paid in full because of a special requirement to pay in full when making the booking (e.g. because of an offer or because the start date was within 70 days of the booking date).
Topdeck Travel (the Tour Operator) are a member of ABTA (L8291/Y2992) and are bonded to provide for your financial protection in the event of its insolvency. Any package which includes a flight as part of the package is protected by Topdeck Travel's ATOL: 11033. More information in relation to the financial protection of your booking can be viewed at: topdeck.travel/legal/financial-protection. Your trip is a “package” within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018 (“Package Travel Regulations”). Therefore, you will benefit from all EU rights applying to packages. Topdeck Travel, or, if applicable, the Local Operator (as defined in Part 2 of the Booking Terms and Conditions), will be fully responsible for the proper performance of the package as a whole (not Travelbug Tours). Additionally, as required by law, there is protection in place to refund your payments and to ensure your repatriation in the event that Topdeck Tours become insolvent. Please be aware that Travelbug Tours are a Retailer, not an Operator, for the purposes of the Package Travel Regulations. Topdeck Tours are the Operator and, as mentioned above, are fully liable for the performance of the contract you are entering into (not Travelbug Tours, who are the Retailer).
Law and Jurisdiction
These Agent terms and conditions are governed by the laws of England unless it is deemed unlawful to do so. Any dispute in relation to these booking conditions shall be subject to the exclusive jurisdiction of the courts of England unless it is deemed unlawful to do so.
